AONMeetings Privacy Policy

This Privacy Policy (“Policy”) explains our privacy practices in connection with your use of AONMeetings websites, applications, and services (collectively, the “Services”).

“AONMeetings,” “we,” “us,” or “our” refers to AONMeetings Inc., its subsidiaries, and affiliated entities operating the AONMeetings platform, including www.AONMeetings.com and related domains.

This Policy applies to all Services that reference this Privacy Policy. Where a specific service provides a supplemental privacy notice, that notice will control in the event of a conflict. The U.S. English version of this Policy governs.


2. Description of Services

AONMeetings provides cloud-based group conferencing, video meetings, webinars, online events, podcasting, collaboration tools, and related communications services.

AONMeetings operates its owned websites and applications and utilizes underlying infrastructure, platforms, and technologies provided by carefully selected third-party service providers to deliver these Services. These providers act solely as subprocessors and are contractually obligated to maintain appropriate data protection and security controls.


3. What Is Personal Information?

“Personal Information” means information that identifies, relates to, describes, or can reasonably be linked to an identifiable individual, such as:

• Name
• Email address
• Phone number
• IP address
• Login credentials
• Billing or transaction information

Personal Information does not include aggregated or anonymized data that cannot reasonably identify an individual. We may use and share aggregated data for analytics, reporting, and business improvement purposes.


4. Roles: Data Controller and Data Processor

Depending on the context:

• AONMeetings acts as a Data Controller for information collected directly from website visitors and account holders.
• AONMeetings acts as a Data Processor when processing Customer Personal Information on behalf of business customers using the Services.

Customers determine the nature and scope of data processed when acting as the controller.

AONMeetings supports customers who may use the Services in connection with Protected Health Information (“PHI”) under the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”).

AONMeetings has implemented administrative, physical, and technical safeguards aligned with HIPAA Security Rule requirements and maintains compliance through certification and ongoing monitoring by Compliancy Group.

Where applicable and upon request, AONMeetings will enter into a Business Associate Agreement (BAA) with covered entities and business associates using the platform in a HIPAA-regulated capacity.

Customers are responsible for configuring their use of the Services in a HIPAA-compliant manner.


8. Sharing and Disclosure of Information

We may share Personal Information:

• With affiliated entities for business operations
• With authorized service providers and subprocessors
• To comply with legal obligations or lawful requests
• In connection with corporate transactions
• In anonymized or aggregated form

We do not sell Personal Information in the traditional sense.


9. Subprocessors and International Transfers

AONMeetings uses vetted subprocessors for hosting, analytics, payment processing, telecommunications, and customer support. Data may be processed in the United States and other jurisdictions where our providers operate.

Appropriate safeguards, including contractual protections and standard contractual clauses where applicable, are used to protect international data transfers.

We retain Personal Information only for as long as necessary to:
